SummaryMaintains graduation auditing processes for the A&S BA degree programs, verifying degree completion and preparing for commencement. Evaluates all domestic transfer credit for transfer students. Responsible for maintaining and applying credit by exam (AP and IB) policy. Coordinates transfer credit and enrollment process for incoming first-year students. Primary point of contact to develop, updated, and maintain online degree audit system.
ResponsibilitiesFIRST YEAR / CURRENT STUDENT TRANSFER
Builds and maintains Banner transfer-articulation where appropriate for first-year transfer work, including AP.
Maintains Transfer Work Approval process: collecting forms, matching with incoming transcripts, and communicating with students regarding discrepancies. Develops and maintains online transfer approval process, working with IS to resolve errors.
Enters transfer work for current students appropriately on Banner, making necessary adjustments between units and semester hours or international equivalent, referring to guidelines when necessary, and applying unit conversion rules as appropriate.
Evaluates and records advanced standing credit for incoming first-year students for AP and IB, including staying up-to-date with latest equivalencies, communicating with academic departments and verifying repeats.
Evaluates and records advanced standing credit for incoming first-year students, including notifying Admission and communicating with academic departments regarding equivalencies and policies.
Updates the Credit-by-Exam policy in conjunction with relevant departments.
TRANSFER STUDENT ACADEMIC PROCESS
Evaluates and approves academic work of transfer students accepted to the University based on comparability with University of Richmond curriculum. Makes decisions on application of transfer work toward appropriate degree requirements.
Manages electronic notification of transfer acceptability and degree requirements using custom DegreeWorks process.
For those courses outside accepted parameters, manages faculty evaluation process, working with department chairs/school deans to finalize approval of transfer of courses toward satisfying general education and major requirements.
Answers questions from accepted transfer students and/or parents on completed transfer evaluations and on transferability of courses.
Develops in-house training sessions for Enrollment Management staff on transfer processes.
Collaborates with the Academic Advising Resource Center in advising undeclared incoming transfer students.
Evaluates transfer course work for prospective student athletes and advises the Athletics Office on the status of the prospective student.
Monitors Arts and Science, Robins School of Business and Jepson School of Leadership Studies curricula updates and coordinates with Transfer Analyst on current transfer practices.
Conducts accuracy checks on transfer work in conjunction with Transfer Analyst.
Responsible for developing transfer articulation database for college credit where appropriate.
Develops and maintains electronic data files of information concerning comparability and equivalencies of transfer coursework, requiring knowledge of general admission standards, transfer credit policies of all types of U.S. educational systems, institutional graduation requirements, and research of a variety of sources.
Monitors relevant trends in national and regional transfer policies, provides periodic reports and recommends appropriate policy changes to University Registrar.
Serves as resource for the UAO and academic schools on development of transfer articulation agreements.
AUDITING AND GRADUATION
Oversees degree application processing for the School of Arts & Sciences (A&S) Bachelor of Arts (BA) degree.
Maintains the degree applications and graduation related responsibilities for all A&S BA degree candidates including final degree audit and verification of major/minor requirements as stipulated by the academic departments, and informing students and appropriate university administrators of the standing of BA degree candidates as appropriate.
Verifies names, honors, and hometown for diplomas and graduation programs.
Serves as member of the DegreeWorks team for maintenance and testing of new releases.
Programs and maintains DegreeWorks audit requirements for majors, minors, general education, and degrees.
Applies approved degree exceptions for individual students in DegreeWorks.
Assists in resolution of difficult academic history problems, providing necessary research and coordination with various offices, such as bursar and deans.
TECHNOLOGY SUPPORT
Performs functional testing of Banner upgrades and provides functional assistance and testing for new initiatives.
Builds, verifies and updates records existing prior to Banner conversion.
Serves as member of the DegreeWorks team for maintenance and testing of new releases.
Uses Scribe programming language to update DegreeWorks based on curriculum changes. Makes decisions on appropriate methods to track degree requirements, adding course attributes where needed.
Programs and maintains DegreeWorks audit requirements for majors, minors, general education, and degrees.
Applies approved degree exceptions for individual students in DegreeWorks.
Other
Builds, verifies and updates records existing prior to Banner conversion.
Responsible for understanding and complying with the University of Richmond’s Family Educational Right to Privacy Act Policy for student records.
Performs functional testing of Banner upgrades and provides functional assistance and testing for new initiatives.
Assists with graduation-related activities as needed, to include working over Commencement weekend.
Serves as back-up for student services at the public counter during peak periods, including processing student forms including, but not limited to special approval forms, add/drop, audit, and major declaration forms. Handles student questions and problems or directs student to appropriate department. Responsible for explaining University policies and procedures.
Assists with any other tasks required by the Registrar’s Office as time allows or as requested.

Qualifications
Requires understanding of curriculum; a thorough knowledge of educational systems and credentials and comparability of curriculums, educational equivalents and institutional admission and degree requirements.
Knowledge of higher education data management and electronic technology preferred.
Excellent computer skills with use of a relational database system (preference given to the Ellucian Banner system)
PC skills with Microsoft Office products, specifically Word, Excel, and Access
Ability to understand tables and rules that run in the background of the database in order to query the system and meet data requests
Aptitude for searching out information from a variety of sources, with the ability to build systems to obtain, store and retrieve detailed data related to educational systems
Ability to communicate clearly and effectively, both orally and in writing, with diverse constituents

Education & Experience
Bachelor’s degree required
2-3 years experience in credential evaluation and comparative educational research is preferred
Demonstrated experience in project/process management in a work environment and written communications
Work Hours
Full-time, exempt position
Monday – Friday, 8:30 a.m. - 5:00 p.m.; 7.75 hrs./day; 38.75 hrs./week; exceptions around graduation season in the spring term and Commencement Weekend for extended hours
Salary StructurePay Grade 6 (Hiring Range $46,114.00 to $61,110.00 annually)
